Reporting to the Director of Grants Management, this position is a key contributor to the grantmaking function of the Foundation. Success in this role requires strong self-regulation, excellent follow-through, and a commitment to upholding rigorous internal systems and timelines.&nbsp;</p><p>The primary responsibility of the Grants Coordinator is to provide comprehensive support for all aspects of grantee engagement, grants data management, and grant execution within the organization.</p><p><strong>Grant Administration &amp; Execution:</strong></p><ul><li><p>Coordinate the preparation and execution of monthly grant materials, including grant letters, wire requests, and associated documents.</p></li><li><p>Maintain accurate, real-time data across GivingData, Airtable, and Google Sheets; ensure all records are updated promptly.</p></li><li><p>Manage the full lifecycle of grant data entry, including periodic audits and integrity reviews within the GMS (GivingData).</p></li><li><p>Prepare internal grant-related reports and dashboards for the Vice President and Head of Grantmaking; respond to ad hoc data and documentation needs.</p></li><li><p>Track and manage grant timelines, payments, and reporting requirements, flagging upcoming deadlines and following up with relevant team members to ensure timely completion.</p></li><li><p>Ensure the accurate and timely submission of grant payments, working closely with the Operations and Family Office teams.</p></li><li><p>Create and manage electronic grant files and grantmaking materials for team meetings, audits, and board dockets.</p></li></ul><p><strong>Grantee Engagement Support:</strong></p><ul><li><p>Serve as a key point of contact for grantees on administrative and operational matters, including executing grant documents and coordinating payment details.</p></li><li><p>Schedule and coordinate grantee-facing meetings, including kickoff calls, reporting check-ins, and engagement events, to ensure effective communication and collaboration.</p></li><li><p>Support the Knowledge &amp; Impact team on grantee learning documentation.</p></li><li><p>Draft and edit correspondence and grantee-facing materials; manage the general grants email inbox to ensure timely and appropriate follow-up.</p></li><li><p>Coordinate opportunities for grantees and partners to connect with SFE, including virtual office hours, webinars, and community sessions.</p></li><li><p>Assist in drafting, editing, and proofreading grant-related content and grantee communications.</p></li></ul><p><strong>Grants Team Support:</strong></p><ul><li><p>Maintain and monitor SFE’s internal grants workflow to ensure accuracy, timeliness, and alignment with organizational processes.</p></li><li><p>Assist in preparing materials and logistics for internal meetings, including board and grants committee dockets.</p></li><li><p>Provide scheduling and administrative support to the grants team members, helping to coordinate internal meetings, external engagements, and key deadlines across the grantmaking portfolio.</p></li><li><p>Track team-wide deadlines for grant reports, payments, and milestones; maintain status checklists and ensure all deliverables are met.</p></li><li><p>Document and synthesize meeting notes, producing clear summaries and follow-up action items to ensure effective communication and accountability.<br>Support the planning and facilitation of quarterly grantmaking reflection sessions and year-end wrap-ups.</p></li></ul><p><strong>Additional Responsibilities:</strong></p><ul><li><p>Assist with other projects and tasks as directed by the Leadership Team.</p></li><li><p>Provide back-up staffing assistance for other administrative roles, including reception coverage.</p></li></ul><p><strong>Qualifications</strong></p><ul><li><p>Minimum of 3-5 years of experience working in an administrative capacity.</p></li><li><p>Proven track record of working independently, managing multiple priorities, and delivering high-quality work under tight deadlines.</p></li><li><p>Demonstrated excellence in time management, task prioritization, and follow-through with minimal supervision.</p></li><li><p>Exceptional attention to detail and accuracy in data entry, document preparation, and calendar/task management.</p></li><li><p>Excellent written and verbal communication skills, including proofreading and editing</p></li><li><p>Proficiency in G-Suite and experience with grants management platforms. Familiarity with Giving Data, Airtable, and Asana is a plus.</p></li><li><p>Strong collaboration and interpersonal skills, with a high degree of reliability and accountability in team settings.&nbsp;</p></li></ul><p><strong>Salary &amp; Compensation:&nbsp;</strong>The anticipated salary for this position is $70,000, plus a bonus.
